How to choose a CRM for your small business in Latin America

Five concrete criteria to decide: language, WhatsApp, local-currency pricing, invoicing and team size. With six CRMs as examples.

Updated Oct 3, 2026

A CRM keeps track of your customers, your conversations with them and the deals you have open with each one. The question isn't which one has the most features, but which one fits how your team sells today and how it will sell a year from now.

Before comparing features, answer five questions. They'll save you demos, free trials you never finish and a painful migration six months in.

1. What language does your team work in?

If your team isn't comfortable in English, an English-only CRM gets used halfway. HubSpot, Pipedrive, Zoho CRM, Kommo, Bitrix24 and Odoo all offer a Spanish interface. Other well-known CRMs, such as Attio, Capsule or folk, are English only.

Look at support, too. A translated interface doesn't guarantee Spanish-speaking help when something breaks. Ask which language and which hours they cover before you pay.

2. Where do your customers reach you?

Across much of Latin America, sales start on WhatsApp. If that's your case, the CRM has to receive those conversations and tie them to the customer, not just store a phone number.

Kommo was built for exactly that: every WhatsApp, Instagram or Messenger chat becomes a lead in the pipeline, and an AI agent can reply and qualify it.

HubSpot and Bitrix24 also connect WhatsApp, along with email and your website chat. Either way, remember that WhatsApp adds Meta's fees for the templates you send, on top of the CRM price.

3. How much will you pay, and in what currency?

Most CRMs charge per user per month, in US dollars. Pipedrive starts around US$14 per user and Kommo around US$15, billed annually. A five-person team pays five times that, plus whatever the exchange rate does.

A few break that pattern. Odoo lists prices in local currency, and Zoho notes that its pricing can vary by region. Beyond currency, there are two ways to keep the bill down. The first is a real free plan: HubSpot's CRM is free with unlimited users, and Zoho CRM has a free edition for up to three users.

The second is paying per company instead of per person. Bitrix24 charges a flat fee per bundle of users and has a free plan with unlimited users, though with limited features.

Check how pricing climbs, too. HubSpot's costs rise quickly on Professional plans and as you add marketing contacts. Ask for a quote on the plan you'll need in a year, not just the entry tier.

4. How does it connect to your invoicing?

Your CRM records the sale, but in Mexico, Colombia or Peru the e-invoice comes from another system. If your CRM and your invoicing don't talk to each other, someone ends up copying data by hand.

Zoho CRM connects natively with Zoho Books, which has a Mexico edition that issues CFDI invoices. A closed deal becomes an invoice without third-party integrations.

Odoo goes further: CRM, sales, inventory and accounting are apps in the same system, with tax localizations for Mexico, Colombia, Argentina, Chile and Peru. The trade-off is that a good rollout usually takes a partner and consulting hours.

HubSpot, Pipedrive and Kommo need an integration, or a tool like Zapier or Make, to reach your invoicing system.

5. How many people will use it, and for what?

Three sales reps don't need the same thing as a company with marketing, sales and support teams.

If you only sell and want every follow-up to happen, a pipeline-focused CRM is enough. Pipedrive shows each deal as a card you move through stages, and every deal always has a next activity.

If marketing, sales and support will share data, choose a platform that brings them together from the start, like HubSpot or Zoho. If you also need tasks, team chat and video calls, Bitrix24 bundles them with the CRM.

Salesforce makes sense when your processes are complex and you can pay someone to run it. For most small businesses, it's more than they need.

How to decide in a week

  1. Write your five answers on one page.
  2. Pick two CRMs that meet all of them.
  3. Load ten real customers and a month of conversations into each.
  4. Ask your team to work in each one for a week.
  5. Keep the one they kept using without being reminded.

Prices in this guide are approximate and change often. Confirm them on each CRM's website before you decide.
